How to choose a WhatsApp CRM and team inbox for a Malaysian business
The best WhatsApp CRM is the one your team will use every day and that keeps your number in good standing. Here is a checklist that works for any product, and where Chatz stands on each line.
Written by the Chatz team. We make Chatz, and say so where it matters.
Start with the job, not the brand
People ask for "the best WhatsApp CRM" as if one product won for everybody. It does not, because the best one depends on who answers your customers and on what happens after they reply. A tuition centre that books trial classes needs something different from a travel agency that sells trips in instalments, or a shop with one person on the phone.
Before you compare anything, write three things on one page.
- Who will use it. Only you, a few salespeople sharing one number, or a team with several numbers and shifts?
- The jobs it must do. Answer from one shared list, share leads fairly, follow up, send invoices, book appointments, run promotions, report on results.
- What goes wrong today. Messages stuck on someone’s personal phone, nobody knowing who is replying, slow answers after hours, leads that never get a follow-up.
That page is your test. Any product either helps with it or does not.
What matters in Malaysia
Software built for another market can be good and still miss the small things that matter here. Check each of these by reading the product’s own pages or asking its team.
- How the number is connected. There are two ways. The official WhatsApp Business API is the connection Meta built for businesses, and you sign in with Meta to set it up. A number can also be linked by scanning a QR code. Ask any vendor which one they use, and what happens to your number if the link breaks.
- The WhatsApp Business app is built around one phone. It suits a very small business. Once several people answer, you need software on the API rather than a phone passed from hand to hand.
- Ringgit and local payments. Is the price in ringgit with nothing added at checkout? Can a customer pay inside the chat by FPX, card or e-wallet, and does the payment find its own invoice afterwards?
- Bahasa Melayu. Malaysians mix Malay and English in one message. Test the AI and the templates with your own real messages, not a demo script.
- Local support. Can you reach a person in your time zone, on a working day, in Malay or English?
Meta changes its WhatsApp rules from time to time, so check Meta’s current terms before you decide. Treat any promise that a number can never be restricted with care: no tool can guarantee delivery.
Will the whole team work from it?
Most of what goes wrong in WhatsApp sales is not the software. It is who answers, and when. Look for these.
- One shared list. Every conversation in one place, with a clear owner on each row and a record of who handed it to whom.
- Fair lead sharing. Rules that decide who gets a new lead, skip people who are away or off shift, and move a lead on when nobody answers in time.
- Roles and numbers. Different people see different numbers, and notifications can be switched off for the numbers a person does not work.
- A phone app. Your team is not at a desk all day.
- Sales next to the chat. Tags, a pipeline, appointments and invoices on the same record, so nobody copies a conversation into a spreadsheet.
What AI may and may not do
Most products now add an AI assistant. It can save hours or cause a mess, so ask how it is kept on a lead.
- It answers from your documents. Your price list, brochures and FAQs. It should say it will check rather than invent a price, and show which source it used.
- A person stays in control. Can you limit where the AI answers, switch it off for one flow without rebuilding anything, and have it hand over to a teammate when it cannot answer?
- Drafting versus sending. An assistant that drafts a reply for your agent to read and send carries less risk than one that sends by itself. Ask which you get, and whether you can choose.
- Labelled and measured. AI messages should be marked in the thread, and the cost of using it should be visible.
- Pace. Replies that land at machine speed look automated to WhatsApp. Ask whether sending is paced.
Can you measure it?
A WhatsApp CRM should answer these without a spreadsheet.
- Response time. How long the customer waited and, separately, how long your team took. A bot’s instant reply can hide a slow human, so ask whether the two are kept apart and whether office hours are counted.
- Leads. How many new contacts came in, from which ad or channel, and how far each one got.
- Sales. Which conversations ended in a paid invoice, and for which salesperson.
- Missed chats. Messages nobody answered.
- A report you can hand to someone. Not only a screen you have to open.
Read the price carefully
Compare what you would really pay in a year, not the headline number.
- What the price counts. Per seat, per workspace, per number or per contact. The same product can cost very different amounts for a team of three and a team of thirty.
- What the free plan really is. Can you run a small business on it, and how is the number connected on it?
- Meta’s message fees are separate. On the WhatsApp Business API, Meta charges per message to your WhatsApp business account, and the amount depends on the kind of message. That is not in any software price. Rates change, so check Meta’s current rate card, and ask the vendor whether they add anything on top and whether they show you your usage.
- Limits and add-ons. Seats, numbers, contacts and AI use. What happens when you go over: a surprise bill, or a gentle prompt?
- How renewal works. Automatic charges, or a reminder before each period ends.
Check how you would leave
You may outgrow a product, or it may stop suiting you. Before you move in, ask three things.
- Your data. Can you export your contacts when you want, and do the vendor’s terms say the data stays yours?
- Your number. Is it connected to your own business account with Meta? Whether a number can move to another provider is decided by Meta’s rules, so ask both vendors for the steps before you start.
- Your history. When you move in, can the product bring your past chats across, so nobody starts every conversation from zero?
Where Chatz stands on the checklist
We make Chatz, so we are not neutral. Use the checklist on every product, ours included, and judge the answers yourself. Here is what Chatz does for each line today.
- Connecting the number. Chatz connects the official WhatsApp Business API through Meta sign-in. An eligible number can be connected or migrated, and up to 6 months of existing chat history can come across. A number can also be linked by QR code (the Free plan connects this way). One trade-off to know: WhatsApp groups work on QR-linked numbers but not on API numbers.
- Malaysia. Prices are in ringgit. Customers can pay inside the chat through CHIP, which supports FPX, cards and e-wallets, and the money goes to your own CHIP merchant account while the invoice updates itself: see sell in the chat. The AI follows the customer’s language, Malay mixed with English included. Chatz is made in Malaysia and you can talk to a person on a working day.
- The team. The team inbox shows the owner on every row and records every handover. Leads Center shares leads by rule, skips people who are away, and passes a lead on when nobody answers in time. There are apps for iPhone and Android.
- AI. AI agents answer from your own documents and hand over to a person. AI reply drafts three lengths of the same answer for your agent and never sends on its own. The AI can be switched off per flow, and AI messages are labelled in the thread. The AI chatbot page has the detail.
- Measuring. Analytics and reports keeps customer wait and agent response apart, counts office hours, shows missed chats, leads by stage and sales by teammate, and sends a month or longer as a PDF by email.
- Price. Plans are per workspace and in ringgit, with seats, numbers and monthly active contacts set by the plan. Going over a limit never adds a charge. The Free plan needs no card, and every new workspace starts with a free 14-day trial, also without a card. AI use is metered in credits that come with the paid plans. Meta bills its message fees to your WhatsApp account directly, Chatz adds nothing on top, and what Meta charges is explained in the help center. Current prices are on the pricing page.
- Leaving. You can export your contacts as a CSV file at any time and ask for a copy of your workspace data, and the Terms of Service say your data stays yours. You can cancel any time and the plan runs to the end of the period you paid for.
Chatz is built around chat. If you only answer a few messages a day from one phone, the free WhatsApp Business app may be all you need.
A simple way to decide
Pick two or three products that pass the checklist, then run the same small test in each, in one afternoon.
- Ask each vendor how the number connects, and what Meta charges separately.
- Connect a test number, not your main one.
- Have two teammates send real customer messages, in Malay, English and mixed, and answer them from the product.
- Take one lead from the first message to an invoice or a booking.
- Open the reports and check that you can tell how long customers waited.
- Test the exit: export your contacts and read the terms.
The product your team enjoys using, and that passes your exit test, is the right one for you, whatever the review sites say.
Questions people ask
What is the best WhatsApp CRM for a small business in Malaysia?+
There is no single best one. It depends on who answers your customers, how the number is connected and what has to happen after a reply. Use the checklist on this page on every product you try. Chatz is made in Malaysia for businesses that sell on WhatsApp, with the official WhatsApp Business API, a shared team inbox, lead routing, AI replies, invoices paid in the chat and reports, but judge it with the same checklist.
Do I need the WhatsApp Business API to use a team inbox?+
The official API is the connection Meta built for businesses, and it suits several people answering from one number. A number linked by QR code can work for a small start. Meta’s rules change, so check its current terms.
Are Meta’s WhatsApp message fees included in the software price?+
No. On the WhatsApp Business API, Meta charges per message to your WhatsApp business account, and the amount depends on the kind of message. It is separate from the software subscription. Chatz adds nothing on top of Meta’s fees and shows your usage in the WhatsApp API console. Rates change, so check Meta’s current rate card.
Is there a free WhatsApp CRM I can try in Malaysia?+
Chatz has a Free plan that needs no card, and every new workspace starts with a free 14-day trial, also without a card. The Free plan is built for one number and one person and connects by QR code, while the paid plans add the official API number, templates and broadcasts. The pricing page lists the current limits.
Can I switch WhatsApp CRM later and keep my number?+
Ask before you start. With the official API you connect the number through your own Meta sign-in, you can export your contacts from Chatz as a CSV file at any time, and you can ask for a copy of your workspace data. Whether a number can move to another provider is decided by Meta’s rules, so confirm the steps with both vendors.
